The Repair Process Starts with a Good Check-In Inspection
One of the most important inspections at an automotive repair shop happens before diagnosis or repair work begins.
A thorough check-in inspection creates a clear record of the vehicle’s condition when it arrives. It protects both the customer and the shop while giving the service advisor and technician useful information from the start.
At Carbon Valley Garage, our check-in process includes several important steps.
We photograph the vehicle’s exterior from multiple angles to document its overall condition and note any existing dents, scratches, cracked glass, broken trim, or other visible damage.
We also record the license plate and VIN. This helps confirm that the correct vehicle is connected to the correct repair order, parts lookup, inspection, and service history.
The instrument cluster is documented as well. We record the mileage, warning lights, oil-life information, and any unusual starting or operating conditions present when the vehicle arrives. Knowing which warning lights were already on can be valuable later in the diagnostic and repair process.
For overnight drop-offs, we document the envelope, paperwork, keys, and any special instructions. Customers may leave keys in an unusual location or include handwritten information that needs to stay with the repair order. Recording these details helps prevent confusion when the workday begins.
A check-in inspection does not replace a full vehicle inspection or diagnostic procedure. It is simply an accurate snapshot of the vehicle as it arrived.
That snapshot helps us:
Confirm the correct vehicle and mileage
Document pre-existing damage
Record warning lights and dashboard messages
Preserve overnight drop-off instructions
Reduce misunderstandings
Give the technician better starting information
Create a more transparent repair experience
The process only takes a few minutes, but those minutes can prevent lost information, unnecessary questions, and disagreements later.
Good documentation is not about expecting a problem. It is about creating consistency and making sure the customer, service advisor, and technician all begin with the same information.
At Carbon Valley Garage, the repair process starts before the vehicle enters the bay. It starts with a careful, documented check-in.
